GFC & NCA - Not-for-profit Religious Organization and Christian School

The client required an “overhaul” of their financial reporting process. At first glance, it appeared to be a simple task. However, soon it became apparent that a previously issued, CPA-written financial statement did not properly reflect the client’s records. It became necessary to reconstruct the balance sheet of the base year before continuing on to the current year’s information.

Using a variety of information and with assistance from existing staff, all of the balances for the end of the base fiscal year were corrected and the compiled financial statements were reissued.

That base year provided a solid foundation for correcting the following years. I reviewed each month of the following fiscal years and corrected any mis-postings. Once all the internal financial statements were corrected and issued to management, I assisted in locating an independent CPA firm to perform a review of the records. The external review confirmed that we had successfully reconstructed the original records.

I have maintained this client for several years and continue to train their staff and oversee the preparation of the monthly internal financial statements. The year-end review of the financial statements by the independent CPA firm has had no adjustments for the past two years.

IAG - Airline Charter Corporation

The client required additional information from his accounting system to effectively manage his business.

After meeting with existing management to gain an understanding of the requirement, a new product suite was incorporated into their system.

Management defined the revenue and expense categories, which would be important to his business decisions in the future, and the method of recording that financial information was changed to accommodate that need.

Although we were several months into the year, the owner requested that the new system be retroactive to the beginning of the year. I assisted him in locating and supervising additional staff to correctly classify previously recorded transactions based upon the new system. I continued to review and provide management with timely and accurate information to support future decisions.

GCA - Airplane Maintenance Corporation

The client had been concentrating on running his operation, but had not been able to maintain the accounting records. He needed several months of customer billing and time reporting information recorded in an appropriate manner.

I went to the client’s site once per week for several months, where I created a chart of accounts in QuickBooks that would assist in recording the services performed and the associated expenses. The time information for employees was recorded in the system and associated with billing its customers.

It was determined that the client required a permanent staff person to perform the accounting function, in addition to assuming other management tasks. I assisted in locating and training a qualified candidate and continue to periodically assist by reviewing the work performed and consulting as needed.

Originally, the client needed assistance separating its business and personal financial records. After meeting with the owners and gaining an understanding of the business and associated details and categories required to trace the information, separate records were established for both business and personal requirements.

I began by reviewing payroll tax returns, 1099s, insurances and IRS notices, and provided reassurance and guidance to the client as they learned and grew their business. I continued to support the client as the company evolved and worked with the tax accountant to modify and improve the information being captured. Over time we went through two different accounting systems, from QuickBooks to Peachtree, training and expanding the office staff.

I developed a month-end process with appropriate documentation and implemented an inventory system with a complicated, lengthy bill of materials. I instructed office staff in running and creating the correct report to ensure they had all the information and were capturing the data properly. as a result of the training programs I implemented, one of the office staff now does payroll processing in house, including quarterly and annual reports, 1099s, and timely payroll tax payments.

I review the extremely detailed preparation of information for the current tax accountant and the owners are confident they no longer need to use a third-party payroll service.

The client’s long-time external CPA was leaving after several years. I took over this role and started by revamping the
chart of accounts, creating a budget and initiating year-end closing activities.

I developed a process to simplify sales data upload to a complex invoicing system, reconciled the information in QuickBooks to the information in Time Slips to ensure these separate systems tied together, and reallocated salaries and payroll into proper expense categories.

In addition, I provided instruction to office staff in the more intricate areas of accounting, and designed a system for managing customer prepayment for consulting services. I also developed an intercompany tracking mechanism for cash flow between the two separate corporations, developed data reporting vital to the President’s quest for venture capital funding, and prepared year-end information and reports for the tax accountant required for proper tax reporting.

The client required full-charge bookkeeping services, including accounts payable, accounts receivable, third-party payroll and bank reconciliations. I have created the information for preparation of 1099s and compiled the information required for medical and dental insurance to facilitate tax preparation.
